One Trusted Odoo System
From Custom Quotes to Trusted Books
A years-long partnership that consolidated Interstyle Ceramic & Glass's 500,000-SKU catalog to around 10,000 behind a live product configurator, and rebuilt their books onto a single Odoo system they could trust.

The Challenge
Interstyle had already moved sales, manufacturing, and invoicing onto Odoo, but was still running invoicing in Odoo and a legacy DOS-based system at the same time.
The two systems didn’t reconcile, so financial reporting couldn’t be fully relied on.
Separately, a confirmed sale order could not become a manufacturing order until the configured tile existed as a real product with its own bill of materials. There was no way to know in advance which combination a customer would order, so a spreadsheet one of their staff maintained pre-generated every new product line in full, a product and a bill of materials for every combination. The catalog was past 500,000 SKUs and grew with every launch, most of them never ordered.

The legacy system was DOS-based and still the book of record. Odoo was not yet trusted for accounting data due to reconciliation issues between periods while running both systems in parallel.
What We Delivered
We worked directly with the client’s accounting, sales, and production teams over a multi-year engagement, moving each onto one Odoo system, line by line.
CUTOVER
Fiscal year-end cutover
Built an open-item import tool to migrate data from the DOS-based system and ran the cutover at fiscal year-end, making Odoo the single system of record.
PAYROLL
Payroll
Implemented Odoo Payroll, migrating per-employee balances so calculations were right from the first run. It ran the company’s payroll for years.
CONFIGURATOR
The 500,000-SKU configurator
Built a product configurator so reps configure a bespoke tile job on the quote itself. Template BOMs mean the configured product arrives ready to build, so an accepted order flows into manufacturing instead of waiting for someone to create the product first. That collapsed a 500,000+ SKU catalog to around 10,000.
Accounting: getting to trusted numbers
DIAGNOSIS
Traced the drift to sales entered in one system a day before the other, sometimes across periods, by comparing Trial Balances with the client’s accountant
CHART OF ACCOUNTS
Worked with the internal accountant and their external CPA to design a new Odoo chart of accounts based on their existing one, closing the reporting gaps
ADOPTION
Added custom shortcut keys so their long-time accountant kept the keyboard muscle memory built over years
REPORTING
Built the financial reports the business runs on
Sales & production
QUALITY GATE
Added a Scheduling gate so every order carries the details production needs before it’s released to the floor
AUTOMATION
Automated the hand-off from approved quote to production, so orders reach the floor without manual re-entry
WORK ORDERS
Built routing templates with embedded placeholders, so a work order reaches the floor prepopulated with the configured product's attributes and instructions rather than being written out by hand
SELF-SERVE
Gave customers self-serve order tracking through a link in their order email
CUSTOM APP
Built a custom app for creating and testing color formulas, plus custom glass-analysis reports
Payroll
COMPLIANCE
Handled year-end CRA tax filing, with automated email and print delivery of payslips and tax slips to every employee
BALANCES
Carried over per-employee payroll balances, including accrued vacation, so the numbers were right from the first run
The Outcome
The business moved off dual systems onto one Odoo system of record it could trust: accounting, payroll, sales, and make-to-order manufacturing in one place. The cutover ran at fiscal year end, with open items audited and imported, so the opening balances were clean.
The catalog stopped being pre-built. A configured tile is created on the order that needs it, so 500,000 SKUs became around 10,000 real products.
A confirmed order now reaches the floor in minutes, with its bill of materials and work order instructions already on it, where scheduling a bespoke job once took most of a working day.
In Closing
Adding a product line now takes minutes, and no longer starts with a spreadsheet of pre-configured products.
